Scanning is a way of transferring physical documents to digital image files. With a modern copy machine, this process is simple and stress-free. With the following steps, you’ll have a scanned image that you can send to a computer folder or email directly to co-workers in a matter of minutes.
How Do I Scan A Document?
You’ll need to have the copier plugged into a power source. Make sure that the copy machine has a scanner feature. It is also imperative that you make sure that the wireless network or other type of internet connection is up and running. Without an internet connection, you won’t be able to transfer the file to a computer or send it via email.
If your copier has a scanner feature, most likely the scanner feature is already installed. Locate the scanner button or function on the copier and familiarize yourself with the varying features, such as selecting DPI and changing the zoom. Even if you’re just planning to scan and send an image without doing any editing, you never know when you’ll have to make some adjustments.
Gather the document that you plan to scan. In order for a document to be scanned successfully, it must be flat and must fit on the scanning surface. If a document contains certain security features, such as a specialized reflective material, you will not be able to scan it.
Open the lid of the copier to reveal the glass scanning surface. Place the document face down on the glass so that the camera can capture the document. Most copy machines have guidelines for placing items that are going to be copied or scanned, such as arrows. Adhere to these guidelines so that your entire document gets scanned. Once you have the document placed appropriately, close the copier lid.
Go into the scanning function and follow the prompts to make a scan. Make any adjustments as needed, such as changing the quality of the scan, until you are satisfied with the final result.
