How Can I Cut Down On Printing Costs At My Office?

Tuesday, September 23rd, 2014

Many companies don’t know how much money they spend on their printers. Instead of calculating printing costs, considering their profit and loss statement, and planning accordingly, they simply buy more toner and paper as needed. It may seem like a lot of work just to save a few dollars; however, you’ll be surprised how quickly you’ll see your numbers drop when you implement one or more of the following tactics to cut down on office printing costs.

Printing On Both Sides Of The Paper

Unless there is a specific reason that you don’t want printing on both sides of a page, you should print on both sides as much as possible. Many printers have a default print setting to allow for two-sided printing. Using this default setting still allows employees to select single-sided printing as needed.

Printing Multiple Pages Per Sheet

If you’ve always printed a single page on a sheet, it probably hasn’t occurred to you that you can print any other way. There are a wide range of documents and other types of content that work well printed with multiple pages per sheet, including Word documents, PDFs, PowerPoint presentations, and even web pages. Simply look for the option to print multiple pages on one sheet in the printing dialog box. Some print drivers have an “N-up” printing feature that allows you to set the number of pages that you’d like to print on one page manually.

Investing In Multiple Printers

Unless you have a small operation with a dozen or less employees, it is likely that using two printers will be more efficient and cost effective than one printer. Consider getting a high speed laser printer for black and white printing and a color printer that will be used exclusively for ink heavy printing jobs, such as photos and brochures. Make sure that employees know which printer to use for which types of tasks.

Investing In Managed Print Services

Allowing an outside company to manage print infrastructure frees up valuable time and energy for your employees to focus on more important tasks. Depending on your specific printing needs, managed print services can include a wide spectrum of features. You save money and heighten productivity while gaining printing control and visibility and improving document security and environmental sustainability.
