Copier Repair Do’s And Don’ts You Should Know

Whether you have been using copiers for years or have just become accustomed to them, there are do’s and don’ts to know. You want to make sure you do not break the equipment and that you know how to use it. But, there are some other do’s and don’ts that you may not have thought about.

Don’t drink or eat around you copier

This may seem like a no-brainer, but it must still be mentioned. Food and drink can be easily spilled. This is especially true if you are standing. Food can stop up the copier, but it can typically be cleaned. Drinks pose more of a problem. If you spill a drink on your equipment, power it down and unplug it immediately. Clean up the spill as far into the copier as you can get, being careful not to damage anything. Then, call a professional copier repair company.

Make sure the copier is plugged in

You may be surprised if your copier suddenly stops working, especially if you haven’t used it for a day or so. Before you call a copier repair technician to help you, make sure the equipment is plugged in. If you don’t, the technician should ask you if it is before they come out.

Don’t unplug the machine without powering it down

You may be tempted to turn your copier off by unplugging it directly from the wall (especially if you’ve spilled a drink!) but this isn’t the best choice. The best way to turn a copier off is to flip the power switch. Then, if necessary, unplug it from the wall. Multi-function copiers have hard drives and act similar to computers. This means they should be shut down to prevent malfunctions, like a PC.

Never try to fix an issue if you don’t have training

Your safety is more important than fixing an issue with the office copier. If you haven’t been trained to repair something, avoid attempting to do so. This will keep you safe and prevent anything else from happening to the equipment.

Keep pet fur away from your copier

Having pets in the office is something almost everyone loves. It can keep stress levels down and bring coworkers closer together. But, it can also cause issues for equipment if pet fur isn’t cleaned properly. Be sure to vacuum all fur around the copier and do not let pets on top of the equipment.

Don’t use a regular vacuum for toner

You can use a vacuum for pet hair, but you shouldn’t use one to pick up spilled toner. If you try to use a normal machine with the typical filter, it will become clogged. This could cause your vacuum to catch on fire or explode, leaving toner everywhere. You will have to use a specialized machine with a HEPA filter to pick up the spilled toner.

Do’s and don’ts to remember with a copier technician

If you need a copier tech to come to your office to repair your office equipment, keep the following in mind.

  1. Don’t ask to print or copy something when the machine is in parts.
  2. Do chat with the technician, if you or they aren’t too busy. Many techs will visit your office quite often, so they’d be happy to see a friendly face.
  3. You CAN share copier and printer jokes with your copier technician.
  4. Don’t be surprised if they tell you some jokes too!

Do call a local repair company

If you are able, contact a local copier repair company. They will be able to respond much faster than a manufacturer. Authorized dealers are even better to work with because that means the manufacturer trusts them enough with their machines to grant them the title. Their techs are well-trained and have experience working on a variety of copiers and printers.

Don’t forget to research copier repair companies

You should research repair companies BEFORE your copier breaks down. Doing this will allow you to be prepared. But, you can still do research if you aren’t prepared too.

First, look at the reviews and ratings of each company. Then, take a look at their services, experience, and certifications. Once you have made a choice, reach out to the technician and schedule a time for them to take a look at your copier.
