Are you in the market for a new copier? Whether you are shopping for your first copy machine or you're planning an upgrade in the near future, make sure that the machine you get is the right one for your company.
It should meet your requirements without being overkill. You don't want the copier to struggle to keep up with daily tasks, but you also don't want to pay for more than you need.
UCI sells a variety of Kyocera brand copiers for small to mid-size businesses as well as larger corporations in Amarillo, Texas and Lubbock, Texas. As you shop around for copiers, pay attention to the following factors.
Color vs Monochrome
Unless you make large quantities of color copies on a daily basis, you most likely do not need a color copier. Save money on the copier purchase with a black and white machine and buy an inexpensive all-in-one inkjet printer for color copies. When you have an occasional bigger color job that you cannot do with the inkjet, such as printing a large batch of color brochures, contact us at UCI.
Cost Per Page
One of the most common questions people ask when shopping for a copier is,“What is the cost per page?” Many varying factors determine a copier’s cost per page, or copy volume, however; and the answer to this question often varies per business, organization or company. In order to get a general idea of what a copier's cost per page is, you must calculate the cost of the copier itself, the maintenance and its subsequent service plan, and service and parts.
Copier cost per page also depends on speed and volume. The faster the copier and more copies it produces lowers the cost per page, and vice versa.
Most copier vendors include three expenses in the average cost per copy (CPC):
Different vendors can have substantially different costs for these factors, which makes it all but impossible to provide a sole average CPC for all copiers.
At UCI, we can customize a copier that perfectly fits within your business’s needs and budget. Our copier prices begin at $69 per month. Whether you run a small, slow-paced office that prints a few times a week or operate a high-volume, deadline-driven business that prints multiple times a day, our reputable copier company can set you up with a copier that complements your office's productivity levels and the environment.
When you call UCI's copier team, ask about our reliable document analysis. We can tell you about our print management software as well, which may reduce the cost of printing in the long run. No matter your budget or printing preferences, UCI can find the ideal copier for you and your business.
Is your office's copier fast enough? When it comes to copiers, speed consideration – or how fast a copier can print, copy and scan – is paramount to businesses. While many companies’ paper production levels have allowed them to take a greener approach, there are still many businesses that still rely upon paper. According to the U.S. Environmental Protection Agency, the average office worker uses 10,000 sheets of paper annually; a typical office document is copied 9 to 11 times.
Copier speed is measured as pages per minute, copies per minute, or outputs per minute. These terms are used to describe the number of letter-sized pages that the copier can provide in one minute at full speed. There are six copier speed segments that range from Segment 1 machines at 15 pages per minute (ppm) or less to Segment 6 machines that can exceed 90 ppm.
Generally, copiers in the Segment 2 to 4 range that copy 20 to 50 ppm are appropriate for office use. Make sure to inquire about the speed for producing single sided copies. It is also important to keep in mind that more complex copy jobs, such as copying onto larger sheets and sorting and stapling packets, take more time.
Be realistic about the speed that you need for the volume of copies that you make. It may be satisfying to churn out 30-page reports in less than a minute. However, you may not need to buy a machine with a 40 ppm capacity when a 20 ppm machine is just fine.
On the flip side, don't buy a smaller copier just to save a few dollars. High-speed copiers are better equipped to handle high volumes. You can end up spending more money on a smaller machine when you overwork it, due to higher consumable and maintenance costs.
In addition to a copier’s speed, your business’s estimated monthly copy volume is a significant cost-driving factor. Slower copiers are less expensive; faster copiers are pricier. However, it is best practice to invest in a copier that will continue to meet your business’s growing copy demands, rather than buying a copier that works for your present speed and volume needs. If your company expands, so will your production.
